Job Summary

The Office of Advancement at the University of Colorado Boulder encourages applications for a Senior Development Assistant that operates as a key support member of the Parent Giving and Boulder Advancement team! This position uses autonomy, independence and subject matter expertise to provide administrative support for a hard-working and collaborative advancement team.

The Assistant will work under minimal supervision on a broad array of administrative duties that are variable and sophisticated in nature and is tasked with exercising a high level of discretion and confidentiality, especially as it relates to assigned responsibilities with donors, faculty, staff and administration. This role applies skills and knowledge in multiple administrative functions, but many responsibilities reflect a distinct Advancement component.

What Your Key Responsibilities Will Be

Administrative Support

  • Strategize and complete travel arrangements (which may include detailed itineraries reflecting appointments with donors) for the Managing Senior Director of Development and Unit Lead.

  • Applies data from university databases to create requested reports, spreadsheets, and donor correspondence.

  • Initiate, schedule and coordinate internal and external meetings for the Managing Senior Director of Development and Unit Lead advancement team.

  • Prepare and distribute various administrative materials including financial and administrative reports and personal letters of invitation, thanks, explanation, information, and cultivation.

  • Monitor and record donations and as needed, follow-up with the CU Foundation to ensure gifts are recorded according to the donors intent.

  • Serve as the liaison for the Parent Giving and Boulder Advancement Programs Office for advancement-related finance and scholarship questions.

  • Process donor checks and gifts and prepare acknowledgment letters and related correspondence.

  • Research and resolve gift administration issues; serve as a subject matter expert for the team on issues related to gift administration.

  • Provide event support and preparation as necessary.

  • Assistance with special projects.

  • Finance/budget management duties.

Donor Cultivation and Stewardship Support

  • Conduct preliminary research on prospective donors and assist in identifying, cultivating, soliciting, and stewarding donors through research of available databases.

  • Track and manage development pipeline data and update development officers on weekly outlook and projections.

  • Update donor database with notes, strategic plans, contact reports, and tasks to ensure the most current and relevant information is available. Share information with other team members.

  • Receives and responds to donor/constituent inquiries.

  • Prepare comprehensive briefing reports to be used for cultivation and solicitation meetings.

  • Draft stewardship letters and reports.

Office Management

  • Answer and direct phone calls; screen phone messages and distribute/follow-up as necessary.

  • Prepare and submit expense reports; prepare purchase requisitions for various office needs; maintain office supply inventory.

  • Serve as a liaison between the Parent Giving and Boulder Advancement Programs advancement team and various internal and external donors.

  • Research and gather information on various topics as necessary and expedite the flow of information to staff.

  • Resolve IT/software related issues for the team.

Other Duties as Assigned

  • Hire/manage 2 student assistants.

  • Assist with onboarding new employees and offboarding departing employees.

  • Serve as a resource for newer development assistants in the unit and across the division.

  • Proactively engage with the divisions Administrative Team (A-Team) and attend scheduled meetings.

What You Should Know

  • This position will occasionally require you to work evenings/weekends.

  • This position has the ability to work a hybrid schedule with some days on campus and some days remote.

What We Can Offer

The salary range for this position is $60,000 - $65,555 annually. Relocation assistance may be available within department guidelines.

What We Require

  • Bachelors degree or equivalent experience or combination of education and experience may substitute.

  • 3+ years of experience directly related to the work assignment.

  • Sense of curiosity and the desire to find solutions to sophisticated problems.

  • Ability to navigate and manage various databases.

  • Ability to exercise a high degree of tact, discretion, and collaboration in working with a diverse range of donors including employees, students, volunteers, alumni, donors, and campus colleagues.

  • Ability to operate independently; has a self-learner/self-starter approach.

  • Understanding of data compliance and integrity.

  • Software Used: Microsoft Office products, donor tracking software (Salesforce), Zoom, Teams, LinkedIn, DocuSign, m-Fin, Marketplace, Concur.
